The Team Lead, Talent Acquisition Specialist at Care Options for Kids will oversee the recruitment process and team performance for an assigned state. This leader will play a critical role in ensuring hiring strategies align with organizational growth objectives, while driving operational excellence within the recruitment team. This position offers a unique opportunity to influence talent acquisition strategies, support a high-performing team, and contribute to the company’s mission to deliver exceptional care to children and families.

The primary responsibility of the Patient Access Specializations Coordinator is to provide exceptional customer service while performing all assigned duties, essential and non-essential. Incumbent exemplifies Care Options for Kids care values. Key job functions include but are not limited to: process caseload transitions, process single transitions, complete any merger and acquisition registration and scheduling, complete Medicaid insurance verification for merger and acquisition patients. A successful Patient Access Specialization Coordinator provides exceptional external and internal customer service. In addition to high individual performance, a Patient Access Specializations Coordinator is expected to support peers, lead best practices, process improvement and continuous enhancements of all Patient Access functions. Ongoing collaboration among team members and with the Manager/Area Director of Business Operations is required to ensure optimal operating effectiveness.

Essential Job Functions Include, but are not Limited to:
  • Processing Single and Caseload transition requests before a hold occurs.
  • Manage individual queue of patients
  • Managing personal and shared email inbox by maintaining a response time of 1-2 business days.
  • Manage personal phone line (and queues as appropriate) by maintaining a response time of 1-2 business days
  • Manage text communications with families by maintaining a response time of 1-2 business days.
  • Provide exceptional customer service to both internal staff and families outside of Care Options for Kids.
  • Utilize EMR, Skedulo and Salesforce systems, by staying within compliance standards for all tasks completed for patients.
  • Enter and maintain accurate information and communication notes in electronic medical record (EMR) and maintain confidentiality with protected health information (PHI).
  • Lead by example with excellent customer service, communicating in a positive and effective manner with families, referral partners, physicians, and clinicians, via phone and email.
  • Online presence and communication when working remotely
  • Communicate with Clinical Directors, clinical staff, Health Information Management staff, Nursing staff, Billing Staff and all Patient Access staff consistently.
  • Maintain parent communication when therapists are no longer in the home on a biweekly basis or less.
Experience/Requirements:
  • The ability to think critically and make educated and thoughtful decisions with minimal supervision.
  • Ability to transform big-picture concepts into concrete operational actions to improve the patient experience, quality of care, and the referral/staffing process.
  • Ability to effectively present information to clients, employees, families, and referral partners.
  • Ability to identify and work through complex problems.
  • The ability to communicate well with clients, family members, and coworkers.
  • Ability to establish and maintain effective working relationships with fellow employees, the public, and supervisors.
  • Ability to successfully function in a fast-paced, service-oriented environment.
  • Ability to be resourceful and initiate collaboration needed to carry out varied job duties.
Education/Licenses/Certifications:
  • High school diploma required, bachelor’s degree or technical school preferred
  • Experience in healthcare, preferably with patient access and EMR work experience
  • Two years of healthcare experience preferred; one year required
  • Demonstrated computer proficiency including but not limited to spreadsheets and email
Working Conditions:
  • Primarily indoor setting with a moderate noise level.
  • Most work is performed in a climate-controlled environment with minimal exposure to hazardous conditions.
Physical Requirements:
  • Ability to regularly sit, stand, bend, kneel, walk, reach with hands and arms, talk and hear.
  • Ability to frequently lift and/or move up to 15 pounds Ability to use close vision, distance vision, color vision, peripheral vision, and depth perception.
  • Ability to adjust to focus.

Annual Salary Range:
  • Full-Time, $23.00 to $24.00/hr
*Compensation dependent on experience.
